Gifts & Entertainment Policy
Purpose and scope
Modest gifts and hospitality can be a normal part of business relationships, but they can also create — or look like — improper influence. This policy sets the rules for giving and receiving gifts and entertainment for everyone at Norvica Logistics. It supports our Anti-Corruption Policy and Code of Conduct.
The guiding principle
A gift or item of hospitality is only acceptable if all of the following are true:
- it is not cash or a cash equivalent;
- it is modest and reasonable in value;
- it is infrequent;
- it is given openly and could be disclosed without embarrassment;
- it is customary for the occasion and the relationship;
- it is not given or received while a tender, negotiation, or decision that it could affect is live; and
- it could not reasonably be seen as intended to influence a business decision.
If any of these is in doubt, treat the gift or hospitality as not acceptable.
Always prohibited
- Cash, gift cards, loans, or other cash-equivalents.
- Anything you solicit for yourself.
- Anything offered or accepted “in exchange” for business or a favour.
- Lavish or extravagant gifts or entertainment.
- Travel or accommodation paid by a counterparty without prior management approval.
- Gifts or hospitality to or from government, customs, port, or other public officials beyond a token ceremonial item — and even then only with prior approval and a record.
- Anything that would breach the other party’s own rules.
Thresholds and approval
Gifts and hospitality of token value, given or received openly in the normal course of business, are acceptable without approval. Anything beyond token value requires prior approval from your manager and must be entered in the gifts and hospitality register. If you are not sure whether something counts as “token,” ask before you accept or offer it.
Special care with public officials
Assume that a gift or item of hospitality to a public official is not acceptable unless it is plainly ceremonial, of token value, permitted by that official’s own rules, approved in advance, and recorded.
Receiving gifts and hospitality
If you are offered something that falls outside this policy, politely decline, explain Norvica’s policy, and tell your manager. If a gift arrives unexpectedly and cannot practically be returned, hand it to management to be recorded and dealt with appropriately — returned, donated, or shared.
The register
Norvica keeps a register of gifts and hospitality given and received above token value. Make sure relevant items are logged so the record is complete.
Reporting and breaches
Report any pressure to give or accept something improper to Norvica management. Breaching this policy may lead to disciplinary action and, where bribery is involved, to the consequences set out in the Anti-Corruption Policy.
